Creating a document is just the first step. To make your work truly professional and easy to read, you need to master formatting. The formatting features like fonts, bullets, and numbering can be used very intelligently to create this impact. This guide will walk you through the essential features of Microsoft Word that allow you to control the layout of your pages, organize data in tables, add visual elements, and polish your final document to perfection.
Basic Text Formatting
This involves changing the appearance of individual letters and words.
Fonts, Styles, and Size
A font is a set of letters with a common typeface.
You can change the font type, style (like bold or italic), and size to emphasize text.
To change the font:
Select the text you want to format.

- On the formatting toolbar (or the Home tab in newer versions), you can:
Click the arrow next to the font type box and select a font of your choice from the drop-down list.
Click the arrow next to the font size box and select an appropriate size.

Click the B (Bold), I (Italic), or U (Underline) buttons for font styles.

Changing Text Case
You can easily change the capitalization of selected text. Word offers a quick way to change the case of your text. For example, you can change lowercase characters to uppercase by hitting <Shift + F3> keys.

Text Alignment
Text alignment means the placement of text between the margins.
Select the text you want to align.
On the formatting toolbar, choose an alignment button:
Align Left (
<Ctrl + L>): The text is aligned evenly with the left margin.Center (

Paragraph Alignment and Spacing
Formatting action on a paragraph decides the alignment and the spacing between the lines.
Select the paragraph you want to format.
From the ‘Format’ menu, select the ‘Paragraph’ option. (look the immediate above image)
In the dialog box, you can set the Alignment and Line Spacing (single, double, multiple, etc.).

Bullets and Numbering
Adding bullets or numbers to a list makes it easy to read and understand.
Using the Toolbar: Select the text and click either the ‘Bullets’ button or the ‘Numbers’ button on the formatting toolbar.
Using the Menu: For more symbol choices, select the text, go to the Format menu (in newer versions its Home), and choose βBullets and Numberingβ.

Page Layout & Formatting π
Page Setup: Margins
Margins are the invisible frame within which the whole text appears.
Go to the File menu (ON NEWER VERSIONS ITS LAYOUT)Β menu and select βPage setupβ.(THERE IS OPTION KNOWN AS MARGINS)
In the dialog box, you can type in (customs values) new values for the Top, Bottom, Left, and Right margins.
You can also set margins quickly by dragging the gray margin boundaries on the Ruler line.
Headers and Footers
A header is text that appears at the top of every page, while a footer appears at the bottom.
Go to the Insert menu and click on Header and Footer.
A special area will open where you can type your text.

Page Numbering
For long documents, page numbers are essential.
Go to the Insert menu and select βPage Numbersβ.
A dialog box appears where you can choose the Position (top or bottom of the page) and Alignment of the numbers.
Click the Format button to choose the style of numbering (e.g., 1, 2, 3 or i, ii, iii).

Watermarks
A watermark is a translucent image that appears behind the primary text in a document.
Go to the Design tab and click the Watermark button.
You can choose a preset watermark or click Custom Watermark to create your own.

Proofreading & Finalizing β
Spelling and Grammar Check
Word’s dictionary checks for spelling mistakes (underlined in red) and potential grammatical errors (underlined in green).
Go to the Review tab and click Spelling and Grammar.
A dialog box will appear, showing each potential error and offering suggestions for correction.

Find and Replace
This tool helps you search for a specific word or phrase and replace it with another.
Go to the HomeΒ menu and select Replace.
Enter the word to search for in the βFind whatβ box and the new word in the βReplace withβ box.
Click Replace to change one instance, or Replace All to change every occurrence automatically.

Word Count
To see the statistics of your document (number of words, characters, paragraphs, etc.), go to the Tools menu and choose Word Count.
